Do you need a new phone number?

If you need to set up a new phone number for a business or personal use it is worthwhile considering the VOIP options, particularly Skype. Skype In numbers are easy to set up and work with your Skype login on your computer or a separate Skype phone if you have one.

I have both a UK and Australian number for my business and both numbers come through to my one Skype login. It's a really useful option if you don't want to install a separate phone line or travel frequently for business.

Help The Environment While Running Your Business

Today is Blog Action Day so Versatile Assistant is contributing tips for helping the environment while running your business.



One of the most important considerations should be how you travel when conducting business. If you drive considering walking, public transport options or whether the meeting could be conducted virtually by conference call. Technology now makes meetings possible between different countries without anyone having to travel further than their desk.



Office Supplies


  • Buy recycled paper and envelopes. There are many professional recycled papers out now which look good and also help the environment.

  • Only print when essential and re-use paper wherever possible. Also print double-sided if you can. Not only will this help the environment it will also save you money.

  • Business cards, flyers, etc are often necessary in business but investigate the use of technology to deliver by alternative means (eg email,web).

  • Promotional materials - look for 'green' alternatives and tell your customers that you are using them... most people will be impressed by this.


Energy


  • PCs use up a lot of energy, and are often left on all day and sometimes all night.

  • Switch off all computer equipment each evening (including printers) and use the hibernate option during the day if you will be away from your desk.

  • Make sure lighting is appropriate for your work situation and try to utilise low energy bulbs where possible.

Many people think that they are too insignificant to make an impact when it comes to environmental issues. If everyone does something (no matter how small) the results will be incredible.

Seven Important Considerations When Choosing A Virtual PA

Seven important considerations when choosing a virtual PA.

1. Experience.
How much experience do they have? Ideally a good virtual assistant should have over five years experience as a senior PA or secretary. How long have they been in business? A relatively new 'virtual' personal assistant is not a bad sign, look at their corporate experience and find out more about what they have to offer. After all, we all have to start somewhere. Investigate whether they have any specific experience in working within your industry. This is particularly useful for those working within the financial, legal, health and training sectors.

2. Skills.
What particular skills does the personal assistant have and are they what you need? Are they lacking in any skills that you require and can they outsource to someone else in this case? If they say they can design websites, look at their website - is it professional and well designed? If they don't have the skills you require ask if they are prepared to learn them. Most virtual PAs have brilliant I.T. skills and will pick up new systems quickly.

3. References/testimonials.
Can the assistant provide some references or testimonials that you can verify? A good one will have a combination of written and telephone referees.

4. Rates.
Are they charging too much or too little? They may be the cheapest but that may also reflect the quality of their work, the standard of their equipment or their lack of professionalism. Do some research about the 'going' rate and compare what you get for your money. Many people get hung up on the hourly rate but remember your virtual PA will be helping you to earn more money for your business. They should be worth their weight in gold as the expression goes!

5. Contractual terms.
They should prepare a client agreement for you. This formalises the arrangement and will outline payment terms as well as other contractual obligations. Check the payment terms are achievable for your business, it is your duty to pay your assistant on time and they may cease working for you if you fail to pay when due.

6. Technology/equipment.
Check what computer equipment your PA has and also whether they have any other useful equipment like transcription machines (though not essential if you use digital transcription), fax, printers, telephones, BlackBerry or other PDA. They should also have a reliable broadband connection as well as a contact number for telephone calls.

7. Personality.
Finally but most importantly how will you work with your virtual secretary? A good relationship with your PA is essential for both parties and will help you develop your business relationship over time. Your virtual PA will become an important lifeline for your business so it is fantastic if you 'hit it off' and have complete faith in them.

There is a lot to consider when hiring a virtual PA and there is much more to your decision than simply considering hourly rates. Look at all factors equally and you should find someone who shares your goals for your business.

Do you want to become a virtual assistant?

I have decided to post this in response to the significant number of enquiries I receive from prospective virtual assistants.


Becoming a successful virtual assistant takes more than simply being a great PA. You need to have or develop a wide range of business skills. Consider taking courses while you are still employed to help you prepare for the business world. Marketing and networking are two areas that will probably be new to you. It may take many months for you to find the right mix for your business, be creative and be prepared to try new methods.

Many courses for VAs have come onto the market recently, if you are going to take one of these make sure it is industry accreditated and has lots of testimonials to back it up. I took the CMA Coaching course and am very happy to recommend Carmen MacDougall to prospective VAs.

Podcasts for business

It's quite likely that you've heard about podcasts particularly if you own an iPod or have iTunes on your computer. Have you ever considered listening to podcasts to help you in business? Many businesses and motivational speakers are discovering the power of podcasting leaving the small business owner with a massive selection to choose from. The good news is you don't need to own an iPod to benefit from podcasts, simply download iTunes to your PC or Mac and you can listen away.

So with so many podcasts out there in cyberspace the dilemma is how do you find them? Your first stop should be the Apple website, once you have iTunes installed it is relatively simple to view different categories including business podcasts. The great thing about iTunes is you can subscribe to podcast feeds which means you'll have access to the latest podcast from that provider.

I have recently created a Facebook group to help my business contacts connect with one another. Facebook is a fabulous social networking platform which should complement this blog and the monthly newsletter. If you haven't set up a Facebook profile yet then take a look at the site, it's free and it's possible to mix business with pleasure!

The aim of the Versatile Assistant Facebook group is to share knowledge, make valuable connections and utilise the Facebook platform for business opportunities.

Why you should have goals for your website?

Today I posted a blog on the Ecademy website to find out whether many SMEs are using Google Adsense on their websites and whether it's something I should try as an additional income stream. One reply really hit the nail on the head - what are the goals for your website? If your goal is to generate income through ads then yes placing ads on a website makes sense. But if (like me) your goal is to promote your business and convert prospects then placing ads on your website wouldn't be a smart move.
A website is an important part of your marketing strategy but you need to establish what you want to achieve from it. Is it simply an online brochure for people to refer to after you've met them or do you want to be 'found' by search engines and prospective clients. Are you monitoring your web traffic and how many enquiries/conversions do you receive? If you have an e-newsletter do you have a target number of subscribers as well as a desired opening rate? Look at what your competitors are doing and how does your site compare?
Content is most important for successful web marketing, you have such a small time frame to capture the attention of your viewer and content which is slow to load, visually disturbing or hard to navigate will be detrimental to your website.
If you haven't set yourself goals for your website I would suggest you think about what you want from your site and then of course set about doing what you need in order to achieve it.

What is a virtual assistant?

A virtual assistant is a self employed professional who provides PA and business support from their own office. This office is often but not always at their home. A virtual assistant is often referred to as a 'VA'.
The virtual assistant works 'virtually' utilising modern technology like email, ftp, fax and telephone to communicate with clients and some VAs will also meet regularly with clients depending on location. Virtual assistants provide a range of services including call answering, typing, PowerPoint presentations, spreadsheets, mailshots, database management, diary management, email management, travel arrangement, event arrangement, book-keeping and marketing support.
Most virtual assistants have over 5 years senior PA level experience meaning they can complete tasks much more efficiently than the business owner. The VA also provides their own equipment and software which results in a considerable saving for the business owner.
Due to the self employed status of virtual assistants it is their own responsibility to meet tax and NI requirements. A virtual assistant should also have adequate professional indemnity insurance and be registered under the Data Protection Act. Virtual assistants are available to work on long term projects and also on an adhoc basis.
A virtual assistant charges an hourly rate and you only pay for the time they spend working for you. Importantly you do not have to spend time managing a VA due to their experience and independent nature. A virtual assistant is much more than a PA, they will become your most important business partner and help you on the way to success.

Is your desk a disaster zone?

How often do you say 'I know it's here somewhere'? Is your desk or indeed your whole office buried underneath a pile of paperwork? Then it's time to sort out the mess once and for all!
‘Decluttering’ has become the new buzzword recently but it is usually talked about in the domestic sense. It is also important for an efficient office to be clutter free. Is your desk hiding beneath your paperwork? Do you have a pile of business cards are propping up your monitor? Are your invoices mixed in with your receipts? Are you wasting time because you can’t find that all important piece of paper when you need it?
Sound familiar... it is relatively quick and easy to declutter your desk space or indeed your whole office if necessary.
Firstly set aside some time, a couple of hours if things are really bad, preferably a time when you will be bright and fresh – so if you are a morning person get onto this task as soon as you arrive at the office. You need to ensure that you will have no distractions and this means no calls, visits or emails. See this time as an investment in your business, if the working environment is clutter free it will help you focus when you are at your desk. You know what they say ‘a clear desk means a clear mind.’
Where to start? Now this is the hardest part. Set up a shredder nearby or a bin for shredding if you have one. A black bin bag or recycling bin will also be necessary for rubbish and of course you need some space for the ‘to keep/file’ pile. Whether you choose to file as you go along is totally up to you and may depend on the state of your desk. If you have a business card holder then put all of the business cards in it, if you don’t have one but have a pile of cards then buy a special card holder and file them immediately. You may decide to tackle the ‘to keep’ pile after you’ve finished sorting the desk, just make sure you do it straight away.
A great idea if you have a scanner is to scan all the paperwork you need to keep and then pack the originals away for archiving or you could add them to your rubbish pile if you don’t need to retain original documents. Setting up an electronic filing system is very simple and you will also be able to back it up or you could burn it to CD. You will be happy in the knowledge you can retrieve the information quickly but you are also cutting down on the amount of paper stored in your office.
Okay now that you have three piles it should be easy to make some real progress – rubbish (hopefully you are recycling paper), shredding and important paperwork to keep. Don’t be afraid to throw things away, if you haven’t used something for a few months then the likelihood is that it isn’t essential for your day to day work. As you start to progress you will notice you gain momentum. This is great news and why no interruptions are so important. Now look at your lovely clear desk and smile, isn’t it great to be able to see it again? The challenge is keeping it clutter free, implement a daily declutter at the end of each day and you’ll be amazed how easy it is.
